PROJECT SCOPING WORKSHEET ========================= A fill-in worksheet for turning an early idea into a clearer brief. Work through it in your own time. Nothing here is sent anywhere. How to use it: write short answers, not polished ones. The point is to surface what is already decided, what is still an assumption, and what has to be established before the next decision. If you cannot answer a line, that is useful information — write "unknown" and move on. 1. THE DECISION AND THE DEADLINE -------------------------------- What decision does this work have to support? > ________________________________________________________________ > ________________________________________________________________ By when is that decision needed? > ________________________________________________________________ Who has to make it, and who else has to agree? > ________________________________________________________________ What happens if no decision is made? (This is often the real baseline.) > ________________________________________________________________ 2. THE CUSTOMER OR USER AND THE NEED ------------------------------------ Who is this for? Be specific about the segment, not the whole market. > ________________________________________________________________ What need or job does it address for them? > ________________________________________________________________ What do they do today instead? > ________________________________________________________________ Why would they change to this? > ________________________________________________________________ 3. LOCATION, MARKETS AND CONSTRAINTS ------------------------------------ Where would this operate, and which markets are in scope? > ________________________________________________________________ Which jurisdictions or countries are involved? > ________________________________________________________________ What known constraints apply? (site, logistics, seasonality, capacity, regulation, technology, supply, labour) > ________________________________________________________________ > ________________________________________________________________ Which of those constraints are fixed, and which could be worked around? > ________________________________________________________________ 4. THE OPTIONS, INCLUDING DOING NOTHING --------------------------------------- Option A: ____________________________________________________________ Summary: __________________________________________________________ Rough cost and effort: ____________________________________________ Option B: ____________________________________________________________ Summary: __________________________________________________________ Rough cost and effort: ____________________________________________ Option C: ____________________________________________________________ Summary: __________________________________________________________ Rough cost and effort: ____________________________________________ Do nothing / defer: what happens if you wait? > ________________________________________________________________ Which option looks strongest, and what would change your mind? > ________________________________________________________________ 5. EVIDENCE YOU ALREADY HOLD vs ASSUMPTIONS ------------------------------------------- Evidence you hold (studies, models, quotations, operating data, supplier terms, customer requirements) — list each and where it lives: > ________________________________________________________________ > ________________________________________________________________ > ________________________________________________________________ Assumptions you are currently making (write these as clearly as you can): > ________________________________________________________________ > ________________________________________________________________ > ________________________________________________________________ For each assumption above, what would confirm or disprove it? > ________________________________________________________________ > ________________________________________________________________ What is the single assumption that, if wrong, would change the decision? > ________________________________________________________________ 6. COSTS, REVENUE AND RESOURCES TO TEST --------------------------------------- You do not need answers yet — this is the list of things to establish. Use your own figures or ranges; do not borrow someone else's benchmark. Capital cost items to establish: > ________________________________________________________________ > ________________________________________________________________ Operating cost items to establish: > ________________________________________________________________ > ________________________________________________________________ Revenue or savings assumptions to test: > ________________________________________________________________ > ________________________________________________________________ People, skills and time required: > ________________________________________________________________ Working capital or cash-flow timing to check: > ________________________________________________________________ 7. SPECIALIST INPUTS AND APPROVALS TO ESTABLISH ----------------------------------------------- Which specialist inputs would this need? (design, engineering, legal, planning, certification, laboratory testing, technical assessment — and any other discipline relevant to your sector) > ________________________________________________________________ > ________________________________________________________________ Which approvals, licences, permits or registrations are likely to apply? > ________________________________________________________________ > ________________________________________________________________ Who would provide each of the above, and have they been approached? > ________________________________________________________________ 8. REQUESTED DELIVERABLES AND THE NEXT DECISION GATE ---------------------------------------------------- What do you actually want to receive at the end of this piece of work? > ________________________________________________________________ > ________________________________________________________________ In what form? (report, model, roadmap, briefing, workshop) > ________________________________________________________________ What is the next decision gate after that, and when does it fall? > ________________________________________________________________ What would make this work a success for you? > ________________________________________________________________ SHORT PROMPTS BY SECTOR ======================= Construction & built environment - What is the brief, and what is the site? - What use, scale and mix is intended? - Which options are genuinely open, and which are already fixed? Hospitality & tourism - Who is the guest or visitor, and what is the segment? - What demand evidence exists, and how seasonal is it? - Which local suppliers and services would the operation depend on? Manufacturing - What product or material is involved, and who is the customer? - What capacity is required, and against what demand? - What would have to change in the process to deliver it? Recycling & resource recovery - What is the feedstock, and where does it come from? - What saleable grade could be produced, and to what specification? - Who would take the output, and on what terms? NOTES ON USING THIS WORKSHEET ============================= Use these questions to organise your evidence, identify gaps and agree the next piece of work. - Keep your own figures. Where you do not have one, write the range you would need to test rather than importing an industry average. - This is a scoping aid, not a compliance assessment, and it carries no score or certificate. Specialist technical or legal advice may be needed for particular decisions.
